The Northeast Regional Distribution Team of Everest Insurance, a member of the Everest Re Group, Ltd. is looking for an Office Manager / Administrative Assistant to join our Boston Branch office.
Responsibilities include but not limited to:
Front Desk / Reception
Answer and direct/route phone calls to the appropriate individuals.
Greet visitors.
Assist with registering external/internal visitors with building security.
Maintain a friendly and welcoming environment for all employees, visitors, and vendors.
Office Service Responsibilities
Maintain, book and schedule conference rooms.
Coordinate office meetings and events, to include arranging menus, delivery of food/beverage, assistance with technology.
Maintain supply inventory, to include desk supplies for all employees, as well as kitchen supplies (coffee, paper towels, napkins, etc.)
Serve as Everest liaison between Corporate Services and local Building Management team; assist with scheduling of local maintenance and service issues, inspection calls, fire drill communications to employees and local plant-scaping company.
Sort/distribute mail and assist with any overnight deliveries (in-coming and out-bound)
New Employee Onboarding
Work together with Regional/Branch Leader on seating charts; primary goal is to keep employees with similar job descriptions/responsibilities in the same neighborhood.
Ensure that all new employees are registered with building security on their first day.
Work with Corporate Services to make sure badges are ready and working on employees’ first day.
Escort new employees to building management office for photo id/building access card.
Provide new employee tour of Everest space.
Coordinate and Organize New Hire breakfasts.
Administrative
Assist Regional/Branch Manager administrative tasks and support on various reporting and presentation needs using Power BI Dashboards, PowerPoint, and Excel
Assist with expense report preparation including PowerBI, PEAK, PowerPoint presentations, etc.
Maintain seating charts, local employee rosters and coordinate with ETS on local email distribution lists.
Assist other teammates where needed on conference/event planning needs.
Assist Sales & Distribution with PowerPoint decks and Excel Reports needed for external broker meetings and internal cross-sell meetings.
Qualifications, Education & Experience:
High School or Equivalent Diploma
Minimum of 3 years Office/Administrative Experience
Knowledge, Skills & Competencies:
Broad Communication Skills
Technical Proficiency with
Microsoft Outlook & Microsoft Teams
Excel, Word, PowerPoint
Ability to be trained on additional internal systems.
